Job Overview
The Front Desk Executive Assistant is responsible for administrative functions to support our team of Financial Advisors and Client Service Specialists as well as serve our clients from our office in Hunt Valley, MD. This is an in-person, full-time, front desk position.
Essential Functions
- Greet clients and visitors in person and over the phone with professional, warm demeanor
- Answer, screen, and direct incoming calls
- Provide general support to visitors
- Prepare and distribute minutes of team meetings and correspondence
- Assist in the onboarding of clients/team members during a merger
- Make travel arrangements
- Work with IT department to ensure software systems are up to date and maintained
- Maintain website by making minor edits, assist with sending email blasts, monthly newsletters, etc.
- Monitor and record office expenses
- Prepare meeting documents, reports, and other materials
- Assist with scheduling and confirming meetings
- Set up screenshare appointments
- Track meetings and notes in CRM
- Assist with keeping CRM database clean and updated
- Participate in Task Groups or Project Teams as directed
- Assist with in-house and off-site activities like client appreciation events and celebrations
- Manage incoming and outgoing mail and deliveries
- Stock and maintain office and break room supplies
- Attend compliance training sessions as required by regulatory agencies and the firm
- Comply with company policies, procedures, and regulations
- Perform other related duties

Work Environment
This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, printers, and scanners. This is largely a sedentary role and employee may sit or use PC for long periods of time. Standard hours of work are 40 hours/week – Monday through Friday during normal business day hours of 8:30am – 5pm (with a ½ hour lunch break).
Required Education and Experience
- College Degree preferred
- At least 1 year experience in related field
- Background check will be required
